Senior Executive Assistant (NOC 12100)
Position Summary
The Senior Executive Assistant provides high-level, confidential and proactive administrative support to the Chief Executive Officer of Computer Modelling Group Ltd. (CMG), a publicly traded global technology company specializing in reservoir simulation software and solutions for the energy industry.
The position requires strong experience supporting senior and C-Suite executives within a global, publicly traded technology organization, along with specialized knowledge of the reservoir simulation industry and proprietary software environments. The role requires significant independent judgment, discretion and the ability to coordinate complex activities across CMG's international operations.
Job duties
Executive & Global Business Support
- Manage the CEO's complex business and personal calendar, including meetings, customer engagements, executive activities, evening events and commitments across multiple international time zones.
- Coordinate complex domestic and international travel, including flights, hotels, ground transportation, visas, detailed itineraries and contingency arrangements.
- Serve as a key liaison between the CEO, C-Suite executives, Executive Leadership Team, employees, customers, partners and other external stakeholders.
- Coordinate executive meetings, including agendas, presentations, pre-read materials, minutes, action items and follow-up.
- Track deadlines, deliverables, project submissions and executive meeting requirements, proactively following up with senior leaders to ensure timely completion.
- Prepare and coordinate confidential presentations, briefing materials, reports and correspondence for the CEO and senior leadership.
- Support CEO interactions with customers, suppliers, consultants, business partners and other senior stakeholders.
- Assist with planning and execution of CMG executive, corporate and customer events.
- Organize and manage all external vendor contracts, including negotiations of terms and conditions and annual renewals on behalf of the CEO Office.
Public Company & Corporate Administration
- Provide administrative support within a publicly traded corporate environment, including coordination of senior leadership and Board-related meetings, materials and schedules.
- Maintain highly confidential corporate records and information relating to business strategy, financial performance, acquisitions, organizational changes, executive matters and other sensitive information.
- Review CEO and executive expense claims for accuracy, supporting documentation and compliance with CMG's corporate expense policy.
- Maintain organized records and correspondence for the CEO's office.
CMG-Specific Business Support
- Develop and maintain a strong working knowledge of CMG's proprietary reservoir simulation software, products, terminology and business operations.
- Apply knowledge of the reservoir simulation industry to effectively support executive communications, meetings and interactions with CMG's technical and commercial stakeholders.
- Coordinate activities across CMG's global operations, including international offices, subsidiaries, acquired companies, customers and business partners.
- Work effectively across multiple time zones and cultures in support of CMG's global business operations.
Personal Executive Assistance
- Provide appropriate personal administrative support to the CEO, including personal appointments, family travel, vehicle servicing, reservations and other logistical requirements.
- Handle all personal and family-related information with strict confidentiality and discretion.
Terms of employment
Permanent, full-time (40 hours per week)
Expected Employment Start Date: As soon as possible
Wage
$43.19/hour

Skills requirements – Education and Work experience
Education:
- Bachelor’s degree in business or scientific studies is required.
- Postgraduate degree or certificate in Business Administration is an asset.
Work Experience:
- Minimum 5 years of progressive senior administrative and/or operations experience is required.
- Demonstrated experience supporting senior and C-Suite-level executives within a global, publicly traded company.
- Previous experience within a reservoir simulation environment/company is required.
- Demonstrated experience working within a global technology, software or energy organization with complex international operations.
- Familiarity with preparing files for quarterly and annual audit as applicable in support to the CEO and Executives.
- Demonstrated ability to manage highly confidential corporate and personal information.
- Strong knowledge of proprietary enterprise software and the ability to quickly understand specialized technical terminology and business processes.
- Advanced proficiency in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint; experience with Google Workspace and corporate expense-management systems is an asset.
- Previous experience working with Expensify, Diligent (for Board material), PowerBI, HubSpot, SalesForce, SAP SuccessFactors, Paylocity are al considered strong assets.
- Exceptional written and verbal communication, organization, judgment and attention to detail.
- Ability to independently prioritize competing demands, anticipate requirements and resolve complex scheduling and logistical issues.
- Strong interpersonal skills and professional judgment when interacting with executives, customers and external stakeholders.
Special Requirements:
- Five days per week in the Calgary office, Monday to Friday.
- Flexibility to support occasional early morning, evening or weekend activities due to CMG's global operations and international time zones.
- Must be comfortable performing both executive administrative and appropriate personal-assistant duties.
- Must be capable of developing a detailed working knowledge of CMG's proprietary software, reservoir simulation products and global business operations.
- Requires a high degree of confidentiality, discretion, initiative and independent judgment.
