Job Description

As an Accounting Associate, you will provide support to the sales team and accounting functions which comprises of General  Accounting, Purchasing, accounts Payable and Billing for the GIP Materials Engineering (“GME”) Division.

This role supports the Accounting and Sales team with processing and reporting functions related to General accounting, Sales, Purchasing, Payables, Billing and General accounting. The position will report to the Financial Controller.

Key Responsibilities include:

Sales

  • Liaising with the sales team in establishing and maintaining the quotes for ongoing changes
  • Monitoring and updating the pricing on the sales tickets including credits and re-bills
  • Analysis of sales to calculate sales credits to relevant customers on a monthly basis
  • Maintenance and distribution of the Daily Sales Tracker
  • Interact with the IT group to enhance all sales reports
  • Updating the monthly Internal price in JDE
  • Creating annual sales margin reports presented to Executive Vice President
  • Maintenance and distribution of monthly External Sales report

General Accounting

  • Maintain and reconcile trucking/shipping receipt and paid file
  • Financial analysis as requested
  • Input of expense reports and reconciliations
  • Reconcile General Ledger accounts
  • Record and analyze monthly utility charges and plant usage.
  • Prepare and input Journal entries, Inventory related entries and Job cost related entries to the respective modules in the ERP system

Payables and Vouchering

  • Creating Purchase orders for all Asphalt purchases and related haulers through the ERP system
  • Maintaining changes to the created purchase orders for rate and quantity changes
  • Liaison with suppliers for needed information
  • Liaison with plant personnel for purchase of Raw Materials
  • Following up on approvals for all invoices from plant managers, controller and Executive Vice President.
  • Liaison with suppliers on queries on invoice payments and discrepancies.
  • Preparing documentation and payment groups for wire transfers.
  • Reconciliations to supplier statements for all major suppliers and haulers.

Billing for internal and external customers

  • Data entry of billing information to the Weighmaster ticketing system for the virtual plants

Qualifications and Experience

  • A college diploma in accounting, bookkeeping, commerce, finance or in a related field;
  • At least 2 years of experience working in the capacity of a junior accounting clerk/bookkeeper or in a related role within the construction or similar industry;
  • Previous experience in a multi-company environment is an asset;
  • Strong attention to detail, organization, data analysis, and data entry skills;
  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar ERP systems);
  • Familiarity with financial reporting and compliance requirements specific to the construction industry;
  • Good English communication skills, both written and verbal, with the ability to work collaboratively across teams;
  • Knowledge of payroll processes, taxation, and statutory deductions;
  • Demonstrated ability to manage multiple priorities in a fast-paced environment;
  • Strong problem-solving skills and the ability to interpret complex financial data;
