Qualifications
Education: Bachelor’s degree in business administration or equivalent experience
Experience: 1 to 2 years in a related field
Work Environment: Office Setting
Key Responsibilities
- Customer Service Skills: Answer phones enthusiastically and communicate with those eager to learn how the company can provide solutions for our clients. Input customer information into the CRM system.
- Communication: Ability to excel at productivity and business targets by managing communications with diverse personalities and levels internally and externally.
- Administration: Monitor and manage all office supplies, tidy the office, organize/file information electronically and in designated spaces, create efficiency and complete/delegate special projects as required.
- High Proficiency in Microsoft Office Suite: Outlook, Excel, Word, and PowerPoint. The ability to learn new technology and successfully implement the new knowledge into job performance. Capacity to create standard and custom reports.
- Payroll: Correlating hours from all employees at a continuum with the job schedule and/or all related job activities.
- Bookkeeping Experience: Knowledge of general office flow and accounting procedures, all invoicing, and AP/AR
- Human Resources: Appropriate management of sensitive employee information and adherence to HR guidelines according to applicable policies and procedures and current regulations; working through the proper channels to address all HR issues discreetly.
- Operations: Quotes, contracts, permitting, crew paperwork, job schedule, scheduling meetings
- Project Management: Organizing, managing and prioritizing workflows for all jobs in planning, progress and closing. You will take ownership of all permitting requirements for multiple new and ongoing projects, closely working with the Estimator, Sales Manager, Operations Manager, project vendors, Engineering and the client. Adept and timely communication is required to successfully prepare for and execute job workflow from initial inquiry to final invoicing.
- Critical and Analytical Thinker: Foresee obstacles and be forward-thinking with a problem-solving mentality. Ability to see the entire picture and analyze business performance. Passion for team success and setting/exceeding business targets.
Required Skills
Proficient in electronic mail, MS Office, Mac OS, spreadsheets, word processing software, MS Windows, and MS Excel.
Knowledge and experience in Smartsheet and Zoho are a definite asset.
